When Microsoft 365 still fits
Before you switch, check whether you are actually in the group that should stay put. We sell and service Microsoft 365, so this list is honest.
08:40 on a Monday, and the first ticket is a password reset, the second is a shared mailbox nobody can open, the third is a laptop that left the building with a resigned employee still signed in. If that is your inbox, Microsoft 365 is not the problem. The plan you are on probably is. Business Basic and the Apps-only plan give your users Office and email and stop there. Every identity job, every device job, every one of those 9pm calls stays manual, and it stays yours.
Microsoft 365 fits an IT manager when the console does the work the team used to do by hand. For most Indian firms under 300 seats that means Business Premium. It carries Entra ID P1 for conditional access and self-service password reset, Intune for pushing a policy to every laptop without touching it, and Defender for Business so the endpoint agent is already there. One login. The number that matters here is not the licence cost. It is the count of consoles you keep open at once. Premium takes that from four to one.
Where it does not fit, plainly. If your headcount is under fifteen and nobody is asking for MFA yet, Business Standard is honest value and Premium is money you will not feel the benefit of for a year. If you are over 300 users, or a regulator is asking for eDiscovery and retention holds, you are in E3 or E5 territory and this page is the wrong one for you. We say that out loud because selling you Premium you cannot use is how this gets a bad name. Achha, once the seat count and the compliance ask are on the table, the plan chooses itself.

When switching from Microsoft 365 pays off, and when it does not
Moving up a plan is worth it the day the console starts closing tickets you used to close by hand. The clearest signal is the password reset queue. If your team is resetting passwords manually, Entra ID P1 self-service in Premium pays for the upgrade in saved hours inside the first month. The second signal is a lost laptop. On Basic or Standard, a stolen machine is a phone call, a police complaint and a bad night. On Premium, it is one Intune remote wipe and a note in the ticket. That gap is the whole reason the plan exists.
When it does not pay off, and I would rather tell you now. If you have eight users and no compliance pressure, jumping to Premium buys features you will not switch on, and the honest move is Standard plus a quarterly review. If you are already on E3 and someone is pushing E5 for one feature, price the standalone add-on first, because E5 for a single module rarely clears the math. And if you are migrating from Google Workspace or a Zoho setup, the plan is the easy part. The mailbox migration and the retraining are the work, and that is where a bad weekend comes from.
