When switching from Freshworks pays off, and when it does not
Moving to Freshworks is not a platform migration, it is a consolidation, and the two feel different in practice. You are not ripping out a system of record, you are collapsing several small ones. The support desk moves first because it is the loudest and the least entangled, ticket history exports cleanly, agents are productive in days. Nobody schedules a war room for a helpdesk cutover, and that is the point.
The friction shows up where a team has quietly built its own world. A sales unit with three years of custom fields and reports in Salesforce is not a migration, it is a rebuild, and a CIO who forces it usually pays twice. The honest move is to leave that unit alone in the first phase and consolidate everything around it. Freshworks earns the wider mandate later, once the easy wins are visible on the vendor-count slide.
Watch two costs the demo will not show. Billing and cancellation are rigid, there is no self-service cancellation and no mid-term refund, so you commit before you are fully sure. And the suite is still several products with separate logins, so the single-vendor story reads cleaner on the invoice than on the desktop. Neither is a dealbreaker for the mid-market. Both are worth writing into the plan before the PO goes out, not after.
If the bill is the only complaint about your current stack, fix the tagging and the shelfware first. Consolidation is worth doing when it removes vendors, not when it just moves the same mess to a cheaper login.
