Zoho One answers that with one per-user price and one renewal, and for a CFO that clarity is the product.
It fits when your headcount mostly uses the same handful of tools. Around Rs 1,250 per user per month for 45-plus apps only pays off if those users touch more than one or two of them. When a company genuinely runs on CRM, mail, books and projects together, the bundle beats buying each one at retail. That is the usage test, and it is a finance question before it is an IT one.
It fits for compliance-minded CFOs too. GST filing and e-invoicing sit inside Zoho Books, records stay on Indian data centres, and the audit trail your CA needs is in the same suite as the rest of the business. You are not stitching a compliance tool onto a foreign platform and hoping the export lines up at year end.
Where it does not fit, the honest read matters. If only a third of your staff will ever open these apps, the All Employee plan is charging you for two-thirds who will not, and a Flexible User plan or a point product is the cheaper call. And if your business is welded to Excel macros and Teams, the retraining cost can outrun the seat saving for a year. Those are numbers to put on the table before the PO, not after.

When switching from Zoho pays off, and when it does not
The move to Zoho is a reconciliation exercise before it is a rollout. Start by listing every piece of software the company pays for and the date each one renews. Most finance teams find at least one line they had forgotten, a seat count that never came down after someone left, or a tool two departments bought separately. That list is where the Zoho case is won or lost, because the saving is the gap between that total and one bundle price, not the sticker on the Zoho page.
Sequence the switch by renewal date, not by department politics. Move the tools whose contracts lapse first, so you are never paying for the old product and the new one at the same time. A CRM that renews in November is the one to migrate in October, and the mail suite that has eleven months left can wait. Reversing that order is how a company ends up funding two platforms for a quarter and blaming the software for a scheduling mistake.
Then be honest about the two costs the brochure will not price for you. Support on the Classic plan is the most common complaint, so if your business needs fast, human help, budget the Premium tier from day one rather than discovering it after go-live.
