HP commercial laptop India: a 220-seat Pune engineering fleet refresh

The Dell Latitude 5430 at the front reception in their Kharadi office has been on the same desk since March 2021. The chassis hinge is loose. The “5” key is shiny. The receptionist, Suman, has not raised a single ticket on it in five years. She has raised three on the printer.
That laptop decided the refresh question for me. Not the helpdesk dashboard. Not the warranty status. One of the oldest machines is still being used by the person who notices everything.
The IT Head, Anand, called in late April. Thirty-one returns in 90 days. Battery cycles past 1,000 on the design team. Two ZBook Studio G7s running so hot Revit was throttling on a Pune afternoon. Procurement window opens 1 July. Two weeks to firm the spec.
Why I came in thinking ProBook, and why ZBook stayed on the table
The honest answer is that I read the brief before I walked the floor. 220 seats, hybrid workforce, mid-range budget, design team using the cloud workstation farm for heavy Revit jobs. I priced an HP ProBook 460 G11 16-inch fleet in my head on the drive in. Core Ultra 5, 16 GB, 512 GB SSD, three-year next-business-day warranty. Around Rs 78,000 per seat, indicative, before GST.
Then I sat down with the lead structural engineer, Priti. She showed me her Revit session: a 14-storey Bandra tower, 87 linked files. She was working on it on her own laptop because the cloud workstation queue had been stuck since morning and her client review was at 4 pm. Her ZBook Studio G7 was fan-roaring through the model coordination check. Bas. The brief was right about 90% of the floor. The brief was wrong about the eight people who actually carry the revenue.
The EliteBook 645 G11 won the wide middle over the cheaper ProBook 440 on the AMD Ryzen 7 PRO chip and Wolf Pro Security. We have seen 18 months of AMD-side HP deployments and the battery numbers come back better. Hybrid people leave at 6.30 pm and open the laptop again at 9 pm. The Ryzen units take that without a charger hunt.

Three honest reads. ProBook beat Latitude on TCO by about 5%. ThinkPad E-series came in cheaper but ships with 1-year default warranty; 3-year Premier add-on closes the gap. The salvage line is real, not marketing: a 3-year-old HP ProBook with box and original charger sells in the Pune resale grey market for around Rs 18,000 in 2026. We checked.

The six-week pilot, two SKUs, 14 engineers
Anand did not want to commit Rs 1.7 crore off a vendor pitch. Pakka. Six-week pilot: seven ProBook 460 G11s for design, seven EliteBook 645 G11 AMD units for project management, three ZBook Firefly 14 G11s for the structural leads who were loudest about the existing fans. Week one was imaging, AD join, Intune enrolment, baseline benchmarking; Rohit and one of our deployment leads finished it in two days.
Week two was the real test. We gave Priti the ZBook Firefly with the same 14-storey Bandra model. Coordination check finished in 6 minutes 40 seconds. On her old ZBook Studio G7 the same check had been taking 11 minutes 20 seconds when the fan let it. Arre yaar.
Week three is where I had to walk back an assumption. Two of the seven design engineers said the ProBook 460 G11 screen was good but the keyboard travel was shallower than they had liked on the Dell. One put it bluntly. “It is a nice laptop, ma’am, but I would not type a 40-page spec on it.” We checked an EliteBook 840 G11. The 840 has the better keyboard. Added as a fourth SKU for the eight people who write long form. This is the part the helpdesk dashboard never tells you. You have to watch the people work.
The trade-offs we made honestly
Three things we did not pretend were perfect.
One. The ProBook 460 G11 16-inch is heavy. 1.94 kg with the larger battery. The two design engineers who carry to client sites three days a week noticed. We offered them the EliteBook 840 G11 14-inch. Five kept the ProBook, two took the 840. Choice mattered more than fleet uniformity.
Two. Wolf Pro Security needs the matching M365 license. To pull telemetry into something the SOC can read you need Microsoft 365 Business Premium or E3 with Defender. Anand was on Business Standard. We priced the upgrade for the 80 seats handling client PII; he upgraded 60. The other 20 were admin and BD seats with no client data on disk.
Three. The Lenovo ThinkPad E16 Gen 2 quote was cheaper by around Rs 4,000 per seat at MOP. The Pune Lenovo service partner network, in our deployment experience, takes 4 to 6 working days for a board-level repair against HP’s 2 to 3 working days through Hinjewadi. For a 220-seat fleet that is 30 to 40 seat-days of downtime a year. He went HP.

Warranty, service and the 60-day result
HP commercial laptop service in India runs through HP Care Pack and an authorised partner network. The Hinjewadi centre is 11 km from Anand’s Kharadi office, keeps boards and screens for ProBook 460 G11 and EliteBook 645 G11 on hand. ZBook line ships from Bangalore with a 48 to 72 hour out-of-warranty SLA.
We added one thing that does not come in the box: a spare-pool of 6 refurbished prior-fleet laptops at his reception cupboard, imaged and ready to swap the same morning a primary unit goes in for service. Same-day swap without paying for the 4-hour on-site warranty upgrade. The CFO liked that one. If you are weighing this against Dell business laptops, the Dell ProSupport SLA on the Latitude line is comparable on paper. The field difference is partner-network density in your city. Hinjewadi favours HP. Whitefield favours Dell.
Order placed 12 May. First batch of 70 EliteBook 645 G11s at our Pune workshop on 26 May. Imaging, asset-tagging and Intune enrolment in 4 working days, deployed across two evenings, old machines wiped to NIST 800-88 Purge and routed to our ITAD partner. Data destruction certificates inside ten days. By the 60-day check-in Anand’s helpdesk had logged 4 returns across 220 seats. Three were charger-related. One was a faulty Bluetooth chip, swapped under warranty inside 48 hours. He sent the spreadsheet over and said, “Bas, the noise has stopped.”
What we would do differently
I would have walked the floor on day one, not day three. The two-SKU split (460 G11 plus 840 G11 for the long-form writers) was a better answer and we should have seen it earlier. The receptionist test held. The brief did not.

Should we lease instead of buy for a 220-seat refresh?

How is the data on the old laptops actually wiped?
NIST SP 800-88 Rev 1 Purge. For SSDs that is cryptographic erase plus a verification pass, with a per-asset certificate signed by technician and ITAD partner. Your DPDP auditor needs that paper trail under the breach framework MeitY notified on 13 November 2025.
